POSITION SUMMARY:  

This is a great entry level HR opportunity! The Human Resources Coordinator handles various administrative, compliance, and training responsibilities for the HR Department. The position helps to create Martis Magical Moments for members, managers, and Ambassadors at Martis Camp and in all aspects of human resources. The HR Coordinator will work in collaboration with the HR Director to help make a positive impact on the culture and ambassador experience at Martis Camp, while also assisting managers with enforcing company policies and practices This role will help to support the HR Director and assist with modernizing HR and the functions of recruiting, onboarding and offboarding, training, meetings, recognition & events, payroll/benefits, leave, safety and worker’s compensation.

 

ESSENTIAL JOB RESPONSIBILITIES

 

TRAINING & ONBOARDING 30%

  • Act as the designated training coordinator for Martis Camp.
  • Help to facilitate all levels of training and compliance for managers and Ambassadors.
  • Coordinate and support the year-round onboarding processes and the high volume of new and returning seasonal ambassadors during the summer and winter.
  • Plan and orchestrate new hire orientations in a professional, timely, and hospitable manner.
  • Lead high energy and professional welcome tours of Martis Camp in Spanish and English.
  • Help develop modernized and personalized Ambassador year-round training and compliance programs both online and in-person, in Spanish and English.
  • Coordinate and deliver ambassador information/training sessions in Spanish and English.
  • Process I-9 verifications and hiring documents for HR & payroll with accuracy and efficiency.
  • Assign timecard badge IDs and work with the Gatehouse on car pass approvals.
  • Assist with the coordination of the J-1 seasonal programs.
  • Assist with the coordination of Ambassador housing and transportation.
  • Coordinate and make recommendations for training opportunities and process improvements in the effort to enhance workplace culture and member services.
  • Work with HR Director to develop and deliver Ambassador development programs and ESL classes.

SYSTEMS DATA ENTRY, VERIFICATION, & RECORDS MANAGEMENT 25%

  • Maintain records in UKG, the Human Resources Information System (HRIS) with a high level of efficiency and accuracy.
  • Data entry intensive during summer and winter seasons.
  • Handle administrative duties for the HR department involving data entry and the validation and verification of confidential information.
  • Perform system audits, run and review reports, and update information as needed.
  • Accurately maintain all records, consistency in processes, and policies as required by law.
  • Perform routine filing and scanning and digitizing ambassador personnel files.
  • Manage your own timecard submissions with timeliness, integrity and accuracy.

ASSIST WITH DAY TO DAY HR OPERATIONS: 15%

  • Provide exceptional Ambassador service and demonstrates professionalism in person, on the phone and through email communications, preferably in Spanish and English.
  • Consult with management and supervisors, providing guidance on new hires and the onboarding process as well as company policies and procedures.
  • Handle employment-related inquiries from ambassadors and managers, referring complex and/or sensitive matters to the HR Director.
  • Expand job knowledge and experiences. Participate in educational opportunities, engage with relative professional organizations and industry publications.
  • Support other HR functions, duties and projects as needed and/or assigned.
  • Maintain knowledge of federal, state, and local laws helping to ensure regulatory compliance.
  • Any other duties as needed to improve safety and assist fellow Ambassadors in fulfilling Martis Camp’s Mission, Vision, and Core Values. 
  • Other duties as assigned by the HR Director.

SAFETY, WORKERS' COMPENSATION, APPROVED GUESTS & DRIVERS 10%

  • Report all workers’ compensation claims within the required timeframe and act as a liaison between the manager and the ambassador when returning to work.
  • Modernize the claims reporting and case management process.
  • Manage, track, organize accident forms and scan case files.
  • In collaboration with the HR Director, facilitate a Martis Camp safety culture, participate in the safety committee, and assist with departmental training and documentation.
  • Help with the coordination of car pass security an on-going and up-to-date insured drivers list.

AMBASSADOR RECOGNITION PROGRAMS & EVENTS 10%

  • Maintain records in the Work Tango Ambassador incentive and rewards system.
  • Support Ambassador recognition programs, HR meetings, and special events.
  • Produce, post, and distribute special event and recognition materials.
  • Award recognition points.
  • Help to integrate Work Tango with UKG.

BENEFITS & LEAVE 5%

  • Assist with leave administration and tracking as well as other company benefit programs.
  • Act as benefits liaison with insurance broker
  • Reconcile the HRIS system during open enrollment.
  • Help with the development of an EAP program, health fair, and other voluntary benefits.

RECRUITMENT 5%

  • Support all recruiting efforts for open positions by posting internal and external job ads.
  • Coordinate high volume and seasonal recruitment efforts during summer and winter.
  • Work closely with management and ambassadors to enhance the employment experience for the MCC, MCF, and MCCA.
  • Help to coordinate and onboard the staffing of positions for food & beverage, golf, recreation, administration, drivers & valet, concierge, security, facilities and other amenities.
  • Help to integrate and manage the Jazz HR system with UKG.

KNOWLEDGE AND SKILLS QUALIFICATIONS:

  • Bilingual preferred (English/Spanish).
  • Ability to interact and develop positive relationships within the organization.
  • Ability to maintain confidential information with professionalism and integrity.
  • Ability to work swiftly during peak periods and to effectively utilize down periods for organizational and process improvements.
  • Ability to receive and apply constructive training and feedback.
  • Ability to travel to and work at Martis Camp year-round.
  • Must work positively and collaboratively with Payroll and as part of the Human Resources and Martis Camp team.
  • Proficient with HRIS, Microsoft Office or related software.
  • Maintain high ethical and moral standards.

  • Excellent organizational skills and attention to detail.
  • Demonstrated ability maintain a high level of productivity and accuracy.

MINIMUM EDUCATION, EXPERIENCE, CERTIFICATIONS, & LICENSES:

  • Bachelor’s degree in human resources, business, communications, or related field.
  • Knowledge of state and federal laws governing human resources practices.
  • Possess professional and/or California HR certifications or plans to obtain within two years.
  • Experience working in an office or hospitality environment required.
  • Two years of prior HR experience preferred.
  • Demonstrated experience with high volume, detailed tasks, data entry or HRIS.
  • Bilingual preferred (English/Spanish)

PHYSICAL REQUIREMENTS:

  • Ability to communicate effectively in a collaborative work environment utilizing various technologies such as telephone, computer, web, voice, teleconferencing, e-mail, etc.
  • Ability to lead standing, walking and shuttle tours, onboarding and orientations at high altitudes.
  • Ability to sit, stand, walk, and move throughout event venues and amenities.
  • Flexibility to work outside the normal business workweek as needed, especially during peak summer and winter seasons.
  • Ability to lift 15 lbs.
