Payroll and Benefits Coordinator

The Payroll & Benefits Coordinator plays a key part in supporting our Ambassadors and keeping our Payroll and Human Resources processes running smoothly. Working closely with the Assistant Controller and Payroll Administrator, you’ll help ensure our payroll is accurate, our benefits are updated, and our Ambassadors feel supported. This is a hands‑on role where you’ll learn, grow, and contribute in meaningful ways every day.
WHAT YOU’LL DO (ESSENTIAL RESPONSIBILITIES)
- Help process our bi‑weekly payroll by collecting information, entering data, verifying accuracy, and keeping records organized.
- Support payroll calculations, including commissions, service charges, overtime premiums, gratuity reporting, and more.
- Assist with payroll processing and serve as the backup for the Payroll Administrator when needed.
- Distribute out‑of‑cycle checks and support emergency payroll needs.
- Be a friendly point of contact for Ambassadors and Managers with payroll questions—providing answers or routing to the right team member.
- Track Ambassador benefit eligibility and assist with enrollments and changes.
- Support benefit reconciliation, HRIS updates, open enrollment tasks, and invoice coding.
- Assist the HR team during hiring by reviewing checklists, updating direct deposit info, and participating in new hire orientations.
- Gather and prepare information for EDD claims, audits, or employment verification.
- Assist with unclaimed wage procedures and required reporting.
- Help digitize and maintain Ambassador personnel files through scanning, organizing, and record retention.
- Provide bilingual (English/Spanish) support when needed.
- Stay current on payroll and HR best practices through continuous learning.
- Jump in to support HR and Accounting with special projects or daily duties as needed.
WHAT YOU BRING (KNOWLEDGE, SKILLS & ABILITIES)
- Strong Organizational & Time‑Management Skills - able to manage multiple tasks, deadlines, and priorities in a fast‑paced environment while maintaining accuracy and attention to detail. Comfortable balancing routine responsibilities with unexpected requests or urgent payroll needs.
- High Level of Accuracy & Attention to Detail - demonstrates precision in data entry, recordkeeping, and payroll auditing. Identifies errors quickly and takes initiative to correct discrepancies to ensure payroll accuracy and compliance.
- Intermediate Microsoft Excel & Outlook Proficiency -comfortable with spreadsheets, formulas, formatting, and sorting/filtering data. Able to manage email communication, calendar coordination, and document sharing with ease.
- Strong Analytical & Problem‑Solving Abilities - able to interpret payroll reports, reconcile data, and troubleshoot issues related to timecards, earnings, deductions, or benefits eligibility. Uses critical thinking to resolve inconsistencies and support sound decision‑making.
- Excellent Communication & Customer Service Skills - communicates clearly, respectfully, and professionally with Ambassadors, Managers, and external partners. Uses compassion and discretion when handling sensitive payroll or benefits questions.
- Ability to Work Independently & Collaboratively - comfortable taking ownership of individual responsibilities while also contributing as part of a close‑knit HR and Accounting team. Flexible and willing to help wherever needed.
- Bilingual Preferred (English/Spanish) - ability to support Spanish‑speaking Ambassadors with payroll and benefits questions is a strong plus but not required.
- Strong Ethical Standards & Confidentiality - maintains integrity and discretion when handling sensitive payroll, benefits, and personnel information. Consistently follows privacy guidelines, internal policies, and legal requirements.
- Adaptability & Willingness to Learn - eager to grow professionally through training, new responsibilities, system upgrades, and evolving organizational needs. Comfortable adopting new technologies, processes, or best practices.
- HRIS and Technology Comfort - experience or willingness to learn HRIS systems (UKG Ready preferred). Able to navigate digital workflows, electronic files, and online tools efficiently.
PREFERRED EDUCATION & EXPERIENCE
- Professional Experience (2+ Years Preferred) - a minimum of two years of experience in a clerical, administrative, accounting, or payroll‑related role, ideally in an environment where accuracy, confidentiality, and attention to detail are essential. Experience supporting payroll processes or accounting functions is strongly preferred.
- Educational Background - high school diploma or equivalent required. Some college coursework in accounting, business administration, or human resources is preferred but not mandatory. Completion of a related vocational or college program may be considered in place of direct work experience.
- Office & Administrative Experience -prior experience working in an office setting is required. Candidates should be comfortable with administrative workflows, digital documentation, and professional communication in a team environment.
- HRIS System Experience (Preferred) - familiarity with UKG Ready or other HRIS/payroll systems is highly desirable. Candidates new to UKG should have the aptitude and willingness to learn new platforms quickly.
- Technical & Professional Aptitude - demonstrated ability to navigate computers, spreadsheets, digital tools, and document management systems with accuracy and consistency. Strong candidates will show an eagerness to expand their payroll and benefits knowledge through ongoing training and professional development.
COMPENSATION & BENEFITS
Wage Range: $30 – $36 per hour (DOE)
