POSITION SUMMARY:  

The Membership Accountant plays a key role in delivering an exceptional experience for Martis Camp members by managing all aspects of accounts receivable with accuracy, efficiency, and professionalism. This position ensures timely monthly statements, provides responsive member support, and assists with broader accounting functions to keep the department running smoothly.

This is more than an accounting role, it’s an opportunity to be part of a culture rooted in integrity, connection, and world‑class hospitality. This is a fulltime, Monday–Friday role (40 hours per week) with occasional scheduled overtime during peak periods.

ESSENTIAL JOB RESPONSIBILITIES:  

Accounts Receivable – 60%

  • Manage membership receivables and issue monthly member statements by the 4th business day.
  • Handle member communications, follow collection procedures, and prepare outgoing correspondence.
  • Bill, reconcile, and recognize member dues and assessments for two companies.
  • Respond promptly to member calls and emails; resolve account inquiries professionally.
  • Post ACH and credit card settlements; monitor ETS for chargebacks.
  • Post payments and close daily POS journals, ensuring billing accuracy.
  • Process wire transfers from real estate closings and post related transactions.
  • Post annual holiday fund contributions to member accounts.
  • Process and reconcile House Watch, Plus One, and transponder charges.
  • Post monthly write‑offs from in‑house accounts.

General Accounting – 30%

  • Support the CFO with month‑end close through account reconciliations and balancing subsidiary ledgers to the general ledger.
  • Complete month‑end checklists and prepare journal entries.
  • Ensure timely sales tax payments; prepare accurate monthly and quarterly tax returns.
  • Monitor bank balances and reconcile check registers to ensure adequate cash availability.
  • Perform bank reconciliations.
  • Issue year‑end 1099B statements to resigned golf members.
  • Record and reconcile Foundation contributions; collaborate with the MCF Executive Director on billings and payments for annual events.
  • Record contributions for the Foundation
  • Maintain and reconcile Martis Camp Foundations donations
  • Collaborate with MCF Executive Director to manage all billings and payments for annual events

Administrative – 10%

  • Assist the Member Services Manager with high‑priority tasks, membership records, and filing.
  • Provide administrative support across departments as needed to advance Club goals.
  • Complete other projects and responsibilities as assigned.

KNOWLEDGE, SKILLS, & ABILITIES:

Knowledge

  • Proficient with Microsoft Office Suite and related accounting and administrative software.
  • Understanding of ethical and professional standards, particularly regarding confidentiality and financial integrity.
  • Knowledge of customer service principles and member‑facing communication practices.

  • Excellent verbal and written communication skills for interacting with members, colleagues, and leadership.
  • Strong interpersonal and service‑oriented skills, consistently demonstrating professionalism and courtesy.
  • Exceptional organizational skills and attention to detail, with a commitment to accuracy in all financial tasks.

PREFERRED EDUCATION, EXPERIENCE, CERTIFICATIONS, AND LICENSURE:

  • Bachelor’s degree in business, accounting, or a related field and at least 2 years of accounting experience; or a minimum of 3+ years of progressively responsible experience in an accounting role.
  • High proficiency in Microsoft Office for Windows (Outlook, Word, and especially Excel).
  • Strong interpersonal skills with the ability to work effectively with Ambassadors, Managers, and Members at all levels.
  • Demonstrated professionalism, strong work ethic, and excellent communication skills.
  • Proven ability to manage multiple priorities, stay organized, and consistently meet deadlines.
  • Experience working collaboratively within a high-performing, fast-paced team environment.
  • Knowledge of and/or experience with Jonas Club Management software is highly desirable.
  • Previous experience in a private club, property management, or hospitality accounting environment preferred.
  • Experience working within a nonprofit accounting environment is a plus.

PHYSICAL REQUIREMENTS:

  • Ability to lift and carry up to 15 pounds as needed.
  • Ability to communicate clearly and effectively in a collaborative office environment using phones, computers, email, video conferencing, and other standard technologies.
  • Flexibility to work outside the standard Monday–Friday schedule when business needs arise.
